How Meridian Corporate Services Ltd collects, uses and protects your personal information. Effective date: 1 January 2026.

We collect information you provide directly to us, such as your name, email address, phone number, company details, identity documents (passport or national ID) and proof of address, when you enquire about or purchase our services. Identity documents are collected only where required by UK anti-money-laundering regulations and Companies House filing rules.
We also collect technical information automatically when you visit our website — including IP address, browser type, pages visited and referral source — through cookies and similar technologies, to operate and improve the site.
2. How We Use Your Information
We use your information to: (a) deliver the services you request, including company formation, registered office, secretarial, accounting and banking-introduction services; (b) verify identity as required by the Money Laundering Regulations 2017; (c) communicate with you about your account, filings and deadlines; (d) process payments and issue invoices; (e) comply with our legal and regulatory obligations; and (f) improve our website and services.
We do not sell your personal data. We share data only with parties necessary to deliver our services — such as Companies House, HMRC, our banking partners (with your consent), payment processors, and professional advisers — and where legally required.
3. Legal Basis for Processing
Under the UK GDPR we process personal data on the following bases: performance of a contract (delivering your services); compliance with a legal obligation (anti-money-laundering checks, tax and company law); our legitimate interests (operating and securing our business, fraud prevention); and your consent (marketing communications, which you may withdraw at any time).
4. Data Retention
We retain client records for as long as you remain a client and for six years afterwards, in line with the Money Laundering Regulations 2017 and Limitation Act requirements. Identity verification records are retained for five years after the end of a business relationship. Website analytics data is retained in anonymised form.
5. Data Security
We protect your data with encryption in transit (TLS) and at rest, role-based access controls, and secure document storage. Identity documents uploaded to our portal are accessible only to the compliance staff processing your file. No method of transmission is 100% secure, but we maintain industry-standard safeguards and review them regularly.
6. Your Rights
Under the UK GDPR you have the right to: access your personal data; request correction of inaccurate data; request erasure (subject to our legal retention obligations); restrict or object to processing; data portability; and withdraw consent for consent-based processing. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK supervisory authority for data protection.
8. International Transfers
Some of our service providers (for example, cloud hosting and email platforms) may process data outside the UK. Where this occurs, transfers are made under UK-approved safeguards such as the UK International Data Transfer Agreement or Addendum, or an adequacy regulation.

We may update this Privacy Policy to reflect changes in law or our services. The current version is always published on this page with its effective date. Material changes will be notified to clients by email or portal notice.
